Academy Administrator Job Description
Line Manager: Academy Manager
Hours of Work: 35 hours per week including evening and weekend work
Place of Work: EBB Stadium, Surrey Sports Park, flexibility to work from home

Responsibilities:
- Recording minutes of all Academy Management Team meetings
- Arranging fixtures and correspondence with other clubs regarding fixture details
- Completing all necessary paperwork for the FA and Football League, regarding registering players, fixture details, team sheets, trial forms etc.
- Organising referees and distributing payment money on match days
- Distribution via e-mail of Weekly, Monthly planners to all Academy Parents, and Scholars and upload of planners to youth website
- Maintenance and up-keep of the Youth Department website – fixtures, training times, special events etc.
- Arranging staff payment for all full-time and part-time staff members
- Corresponding with all players/parents regarding issues within the Youth Department each evening at Surrey Sports Park
- Ordering and managing the distribution of logistics – measuring night for playing kit, payment collection, change of shirts for match days with away
teams, ordering of equipment for sports science & medicine and other equipment - Paperwork such as printing, photocopying of documents for distribution to coaches and parents where applicable
- Collection and collation of registers of attendance each evening at Surrey Sports Park
- Maintenance of individual player/staff/age group folders – hard copy and electronic where necessary
- Booking of facility hire
- Assisting with the managing and documenting of the youth budget as it changes and monitoring expenditure and income
- Arranging Compulsory Attendance and Guard of Honour dates and ensuring the process is adhered to and made clear to all players and
parents - Maintenance and monitoring of all databases, including player and staff records, inventories and audits
- Monitoring HR procedures including up to date staff records and making course bookings where necessary.
